We are seeking an Executive Assistant to support the founders of a rapidly scaling, multi-location business operating co-working spaces, wellness facilities, and cafes across the UK. This role serves as the organizational backbone for leadership, managing supplier coordination, project tracking, and executive-level administrative support. Job Highlights
Number of Paid Hours Per Week: 40 hours
Schedule: Monday to Friday, 8:00 AM – 5:00 PM UK Time with one hour unpaid break
Work Arrangement: Work from home

Responsibilities

  • Source quotes and negotiate with suppliers for furniture, equipment, coffee, wine, and operational needs

  • Research and evaluate new suppliers, providing detailed comparisons and recommendations

  • Manage project timelines using Monday.com and Slack to ensure deadlines are met

  • Handle email management across multiple inboxes, flagging priorities and routing correspondence

  • Coordinate travel bookings and related logistics

  • Organize and maintain critical business documents and filing systems

  • Set up trade contracts and manage ongoing supplier relationships

  • Chase project deliverables and keep cross-functional teams on track

  • Provide executive support, including scheduling and administrative coordination

  • Serve as the central hub for operational communication and organization

Requirements

  • Excellent English and Spanish communication skills
  • Exceptional organizational skills with strong attention to detail

  • Strong communication skills for supplier negotiation and team coordination

  • Executive assistant or similar administrative experience managing multiple stakeholders

  • Experience using project management tools (Monday.com and Slack preferred)

  • Proactive mindset with a preference for accuracy over speed

  • Ability to work UK business hours with occasional flexibility

  • Procurement or supplier management experience is a bonus

  • Familiarity with co-working, hospitality, or multi-location operations is an advantage

Side Note:
Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
