JOB PURPOSE:
Why does this role exist? The CORE Operations Coordinator provides essential operational and administrative support that ensures consistent, accurate, and high-quality execution of CORE workflows across the company. This role supports onboarding and offboarding tasks, business services requests, weekly firm reporting, payroll support inputs, and other CORE operational activities that ensure a seamless experience for internal teams.
The Coordinator is central to delivering the WOW Client Experience, executing repeatable
processes, and supporting the scaling of CORE as the organization grows.
KEY ACCOUNTABILITIES:
Strategic & Organizational Leadership
- Execute day-to-day CORE workflows with accuracy, timeliness, and attention to detail.
- Manage the majority of onboarding and offboarding tasks (system set-ups, access coordination, documentation support, checklists, communication tasks).
- Act as the task receiver from HR for onboarding/offboarding and other admin-related HR requests — no HR program ownership or HRIS responsibility.
- Support weekly firm reporting by gathering updates, preparing summaries, and distributing information to leadership.
- Support payroll processing tasks (collecting information, preparing inputs, coordinating required documentation).
- Maintain CORE filing systems, templates, and process documentation for consistency and audit readiness.
- Provide reliable, timely support for internal administrative requests routed through CORE
CORE Support
- Coordinate administrative components of events, travel, meetings, documentation, and internal logistics.
- Support the execution of CORE-related business services requests including scheduling, communications, document formatting, and reporting tasks.
- Maintain up-to-date policies, processes, and documentation repositories as directed by the Director of CORE.
- Assist with firmwide initiatives and operational support activities required by the CORE function.
Systems & Workflow Execution
- Execute tasks within Zendesk, My90, Wrike, Humi (where applicable for tasks only), an other CORE systems.
- Maintain accurate status updates and ticket flows within CORE systems.
- Identify workflow inconsistencies and escalate opportunities for improvement to the Lead, CORE Operations & Systems.
Internal Client Experience
- Deliver WOW Client Experience in every interaction — accurate, proactive, timely service.
- Support CORE’s service culture through reliable follow-through and solutions-oriented communication.
- Serve as a helpful, responsive first point of contact for assigned CORE administrative requests.
KEY PERFORMANCE INDICATORS (KPIs)
- High accuracy and on-time completion of onboarding/offboarding tasks.
- Weekly firm reporting delivered on time and error-free.
- High internal satisfaction and WOW experience (NDS ≥ 85–90%).
- SLA compliance within CORE workflows (Zendesk + standardized processes).
- High-quality documentation, consistent filing, and low error/rework rates.
- Reliable execution of payroll support inputs with no errors.
CRITICAL PERFORMANCE AREAS
- CORE Workflow Execution. Consistently completes CORE operational tasks (onboarding/offboarding task workflows, payroll support inputs, weekly firm reporting, business services requests) with accuracy, timeliness, and attention to detail.
- Internal Service Delivery & WOW Experience. Provides responsive, solution-oriented support and models WOW Client Experience in all internal interactions.
- Systems & Documentation Accuracy. Maintains accurate digital filing, checklists, templates, SOPs, and status updates in CORE systems to ensure consistency and audit readiness.
- Cross-Functional Coordination. Collaborates effectively with HR, Finance, Operations, and other internal teams by receiving delegated tasks, completing them efficiently, and escalating questions appropriately.
- Process Consistency & Improvement — Identifies workflow gaps or inefficiencies and contributes suggestions to the Lead, CORE Operations & Systems to support optimization and standardization.

- Proven ability to balance strategic vision with operational execution.
