US QuickBooks Online Bookkeeping & Administrative Support

Overview

This role provides prep-focused bookkeeping and administrative support across multiple client accounts. The position is designed to keep books current, support efficient month-end close, and maintain clean, well-documented records. The role follows established SOPs and does not involve advisory decision-making, tax filings, or payroll processing.


Scope & Structure

  • Starts at 20 hours per week (4 hours daily, Monday–Friday).

  • Prep-focused support role designed to keep books current and support an efficient month-end close.

  • No payroll processing, tax filings, or advisory responsibilities.

  • Work performed entirely within QuickBooks Online (rare use of QuickBooks Desktop).

  • No bank portal access.

  • Limited client-facing communication, only when scripted and approved.



Key Responsibilities

Bookkeeping & Financial Prep

  • Provide bookkeeping support for multiple client accounts using QuickBooks Online (QuickBooks Desktop experience is a plus).

  • Perform weekly bank and credit card transaction reviews, including:

    • Accurate categorization

    • Receipt matching

    • Identifying and flagging exceptions

  • Assign transactions to Projects or Classes for job costing and project-level tracking, following predefined rules.

  • Prepare accounts for month-end close, ensuring books are clean, organized, and ready for reconciliation.

  • Assist with account reconciliations under review; independent reconciliation responsibilities may be added over time based on accuracy and consistency.

  • Prepare AR/AP summaries and draft follow-up communications using established templates and scripts.

Tax & Compliance Support (Non-Filing)

  • Assist with tax and sales tax preparation support tasks, including:

    • Data entry

    • Report preparation

    • Document organization

  • No tax filings, advisory work, or regulatory submissions.

Administrative & Operational Support

  • Draft and maintain SOPs, checklists, and basic process documentation.

  • Provide administrative support including file organization, intake assistance, and internal coordination.

  • Work within CRM and workflow management systems to track tasks and documentation.

  • Communicate professionally in writing and clearly document work completed.


Requirements

  • Strong, hands-on experience with QuickBooks Online.

  • Solid understanding of U.S. bookkeeping workflows and recurring close processes.

  • High attention to detail and accuracy.

  • Comfortable managing multiple client accounts with recurring deadlines.

  • Ability to follow SOPs precisely, document work clearly, and escalate issues rather than resolve independently.

  • Professional written communication skills.

  • Comfortable learning and working within CRM and workflow systems.

  • Organized, reliable, and motivated to grow over time.
