Spanish Bilingual Sales Admin Assistant

Schedule: Monday to Friday, 8:00 AM to 5:00 PM, with a one-hour unpaid break

Total Weekly Hours: 40 hours

This is an opportunity to become the operational backbone of a successful business while supporting strategic growth initiatives.

You will serve as the right-hand support to a business owner who has successfully scaled a commercial cleaning operation and is now focused on systematizing processes while preparing for controlled expansion. This role blends essential administrative responsibilities with strategic appointment setting, allowing you to directly impact both daily operations and business growth.

You will manage critical client communications, organize business systems, and support the sales pipeline through thoughtful and professional prospect outreach.

 

Responsibilities

  • Manage and respond to client emails promptly, coordinating responses with internal team members as needed

  • Compile, maintain, and organize databases of contacts, client information, and key business metrics

  • Monitor, track, and organize complaint reports and operational reporting systems

  • Provide regular reporting updates on payroll, attendance, and other key operational metrics

  • Conduct appointment-setting activities using prospect lists and CRM systems

  • Send initial outreach emails to potential clients to schedule sales appointments for the owner

  • Assist with CRM implementation and development of prospecting funnel strategies

  • Support the creation of local prospecting initiatives and referral-based outreach campaigns

  • Coordinate across multiple software platforms and help streamline operational workflows

  • Maintain accurate records and ensure timely follow-up on all client and prospect communications

 

Requirements

  • Bilingual proficiency in Spanish and English (required for client communication)

  • Strong written communication skills for professional email management

  • Experience with database management and data organization

  • Administrative experience involving reporting and data compilation

  • Familiarity with CRM systems or appointment-setting experience is a plus

  • Experience in service-based businesses or client coordination is an advantage

  • Professional communication skills for both client support and prospect outreach

  • Ability to work independently while effectively coordinating with team members
