Financial Operations Specialist

Job Overview
We’re looking for a highly detail-oriented Finance Operations Specialist to manage and optimise our end-to-end  finance operations. This role owns the controls, monitoring, and month-end reconciliation processes ensuring data integrity and timely, accurate financial reporting and outcomes.

Key Responsibilities:

Month-end reconciliation (primary accountability)

  • Own the monthly collections reconciliation process and reporting, ensuring we can reconcile:

  • Collections sources → system of record → bank movements → invoices.

  • Perform ongoing “mini checks” throughout the month to validate automations and data pipelines are functioning correctly (formats, completeness, expected flows), so month-end reconciliation is smooth.

  • Investigate variances and ensure issues are resolved with clear root-cause documentation.

Daily transaction feed monitoring & audit

  • Check all transaction feed files have landed in a timely manner per SLA’s. Review file processing system report, investigate warnings and errors and validate files are in the required format and pass basic data quality checks.

  • Work with IT to flag and resolve any IT processing controls issues. 

  • Conduct follow ups with key stakeholders where needed. 

Monthly invoice management & reconciliation

  • Track and manage monthly invoice deliverables from collections servicing sub contractors to ensure they arrive in a timely manner per SLA’s and in the required formats, including:

  • Summary invoices and accompanying

  • Detailed invoice breakdowns

  • Liaise with IT to upload invoice breakdowns to our internal records systems for reconciliation purposes.

  • Review comparison file/tool that allows you to identify where discrepancies are between Invoice and our internal collections data 

  • Liaise with sub contractors to resolve invoice issues (timing, formatting, missing details, discrepancies with our records).

  • As part of the month-end, ensure invoices reconcile to our internal system of record, as well as credited amounts in bank account.

  • Instruct servicing sub contractors to send through updated files or invoices, instruct IT to make adjustments to internal system of record where necessary to allow us to reconcile for the month

  • Ensure issues are resolved promptly so Finance can confidently approve and release reports and payments to service providers each month per agreed timelines. 

Manual payment processing Process manual payments accurately and promptly, including:

  • Direct payments: ensure payments made to the originator of loan or service, are captured accurately, logged in our system so collection data is at all times reliable

  • Notify the servicing sub contractor/s so they include in monthly invoicing and update their systems of record.

  • Generate required invoices to counterparties for these items (one per counterparty as needed) and maintain supporting documentation.

Buyback processing (recalls + counterparty invoicing)

  • Manage the buyback workflow:

  • Receive/track potential buyback notifications.

  • Process approved buybacks by inputting into the system so a recall occurs.

  • Generate and send a buyback invoice to the original counterparty for repayment.

  • Ensure buyback activity is accurately reflected across systems and reconciled.

Issue investigation, controls, and cross-team coordination

  • Apply strong problem-solving to trace data/process issues to the stage they occurred (feed, processing, invoice, bank movement, system of record), identify root causes, and drive fixes.

  • Escalate effectively to IT (technical failures/automation issues) and to Finance / Middle Office / Ops (process or policy issues).

  • Maintain clear runbooks, exception logs, and recurring issue tracking to reduce repeat incidents. KPIs

  • Daily feeds received 100% on time in correct format for processing (or exceptions flagged same day).

  • Zero preventable month-end surprises due to proactive in-month checks.

  • Monthly DCA invoices received on time, correct format, and reconciled with minimal variance.

  • Manual payments and buybacks processed with high accuracy and traceable audit trail.

  • Clear documentation and continuous improvement of controls/alerts.

Requirements

  • 2–5+ years in finance operations, accounting support, AR/collections operations, or reconciliation-heavy roles (ideally in a small to mid-sized company environment where you owned end-to-end processes).

  • Strong hands-on experience with:

    - Reconciliations (multi-source: files → system → bank)

  • Managing file-based reporting (daily feeds, invoice breakdowns)

  • Exception handling and audit trails

  • Very high attention to detail and comfort working with large transaction datasets.

  • Strong problem-solving / root cause analysis skills.

  • Confident communicator with external parties and internal teams (IT, Finance, Ops).

  • Tooling: strong Excel/Google Sheets; familiarity with ticketing tools (e.g., Jira), shared mailboxes, and basic automation concepts. Bonus if comfortable with SQL/BI tooling.
