Administrative Operations Assistant (HubSpot & Salesforce)

Schedule: Monday–Friday, 8:00 AM – 5:00 PM EST
(1-hour unpaid break)
Total Weekly Hours: 40 hours

 

You will be the foundational force behind building administrative systems from the ground up for a growing electrical contracting and home maintenance business. This role goes beyond managing existing processes—you will design, implement, and own the organizational structure that enables efficient, scalable, multi-state operations.

Working directly with an entrepreneurial CEO, you will take true leadership of all administrative functions across sales, operations, customer service, and dispatch. The ideal candidate thrives in startup environments, thinks strategically, and takes full ownership of building systems that support long-term growth.

 

Responsibilities

  • Design and implement comprehensive administrative systems and workflows from scratch in a startup environment

  • Build and manage organizational structure across sales, operations, and administrative functions

  • Lead dispatch and call center operations as the front-office administrative owner

  • Manage advanced file systems, databases, and CRM platforms

  • Maintain accurate client records, documentation, and operational data

  • Provide cross-functional administrative leadership across sales administration, operations administration, and core admin functions

  • Proactively identify operational gaps and implement scalable solutions

  • Think strategically and contribute insights on process improvement and business optimization

  • Build systems that support multi-state electrical contracting and home maintenance operations

  • Serve as the administrative backbone enabling CEO effectiveness and company growth

 

Requirements

  • Expert-level administrative and operations skills with the ability to work fully independently

  • Strong communication skills for customer-facing interactions and dispatch leadership

  • Experience working with multiple CRM systems (HubSpot and Salesforce strongly preferred)

  • Proven ability to design systems and processes without pre-existing frameworks

  • Ownership mindset with leadership capability and proactive decision-making skills

  • Strong critical thinking and problem-solving abilities

  • Experience supporting US-based clients and familiarity with US business operations

  • Bonus: Experience in startup or entrepreneurial environments

  • Preferred: Background in contracting, electrical services, or home services industries

  • Bonus: Dispatch or call center management experience
