Executive Assistant (NetSuite Firm)

Contract: Independent Contractor
Schedule: Monday - Friday; 8 AM - 4 PM with 1 hour unpaid break. 35 paid hours per week.
Client Timezone: EST (Woodstock, GA)

Role Overview 
We are seeking a highly organized and proactive Executive Assistant to support our leadership team. This role involves managing complex calendars, coordinating meetings across multiple time zones, handling email communications, and converting meeting action items into actionable tasks in Asana or Notion. The ideal candidate will be detail-oriented, professional, and comfortable managing confidential information. Responsibilities also include personal administrative support, travel coordination, and ensuring nothing falls through the cracks. This position requires experience working EST hours from the Philippines (8 PM–5 AM) and proficiency in Gmail, Google Calendar, Zoom, Google Drive, and task management tools.

Task &  Responsibilities
Calendar & Scheduling

  • Manage multiple calendars
  • Schedule client meetings, internal meetings, personal appointments
  • Coordinate meeting logistics (Zoom links, agendas, prep materials)
  • Resolve scheduling conflicts proactively
  • Send meeting reminders and follow-ups

Email & Communication Management

  • Triage manager's inbox using defined rules
  • Respond to routine emails on the manager's behalf
  • Flag urgent items needing immediate attention
  • Draft responses for managers' review when appropriate
  • Monitor and follow up on outstanding items

Meeting Support

  • Convert action items and follow-ups from meetings to Asana/Notion tasks
  • Coordinate logistics for video calls and in-person meetings

Administrative Tasks

  • Track to-do list and remind of deadlines
  • Handle personal admin requests (booking travel, appointments, etc.)
  • Maintain filing and document organization
  • Coordinate with team members on the manager's behalf
  • Handle miscellaneous admin requests as needed

Qualifications and Preferences

  • 2-4 years of experience as an Executive Assistant or in a similar support role
  • Excellent written and spoken English 
  • Proven experience managing complex calendars across time zones
  • Experience working EST hours from the Philippines (8 pm-5 am Philippines time)
  • High attention to detail - nothing falls through the cracks
  • Proactive problem-solving - you fix issues before they become problems
  • Professional, discreet, trustworthy with confidential information

Technical Skills

  • Gmail and Google Calendar (expert level)
  • Zoom or similar video conferencing
  • Google Drive and Docs
  • Asana, Notion, or similar task management (willing to learn)
  • Comfortable learning new tools quickly
