About The Company
The Company is an established Fire & Security company based in Southend, Essex, UK. With several years of growth and an expanding client base, we are seeking a motivated and detail-oriented Job Coordinator to support our Service and Small Works departments.
About the Departments
Service Department:
Our Service team arranges routine visits for engineers to test fire and security systems. Responsibilities include reviewing jobs on our CRM system (SimPRO), compiling job details for engineers, booking appointments with clients, and ensuring permits and risk/method statements are prepared. Most bookings are via email, with occasional client calls.
Small Works Department:
The Small Works team schedules engineers to repair or rectify issues based on quotations. Jobs are assigned according to engineer skillset and work type. Similar to the Service department, bookings must be confirmed before engineer attendance, with necessary permits and risk/method statements prepared in advance.
Role Overview
As a Job Coordinator, you will assist in organizing and coordinating jobs across both departments. This primarily involves administrative tasks, preparing detailed job information for engineers via our CRM, and liaising with clients to schedule and confirm appointments.
Key Responsibilities
- Preparing and reviewing job details in SimPRO to ensure all relevant information is included.
- Contacting clients via email (and occasionally by phone) to confirm bookings or arrange alternative dates.
- Coordinating with engineers to ensure schedules align with their skillsets and availability.
- Updating the CRM with all client communications and actions taken for each job.
- Ensuring engineer reports are received and recorded after job completion.
- Supporting the team to maintain smooth workflows and positive client experiences.
Note: This role does not require ordering materials or equipment.
