Administrative Assistant
Job Description: You’ll play a crucial role in managing the digital backbone of executive content creation. This behind-the-scenes position offers the perfect opportunity to work with innovative AI tools while supporting high-level content operations. You’ll ensure seamless organization of client assets, from raw recordings to processed insights, enabling the creative team to focus on what they do best. Schedule: Monday to Friday 10 AM to 2 PM. EST preferred but flexible
Responsibilities:
- Download and organize Zoom call recordings into structured client-specific drive folders
- Maintain streamlined file management systems for multiple executive client accounts
- Upload and process call transcripts through AI software platforms to extract key topics and insights
- Ensure all digital assets are properly stored, labeled, and easily accessible for content teams
- Handle various administrative projects and tasks as they arise in daily operations
- Perform general data entry and file organization to support content creation workflows
- Maintain consistent folder structures and naming conventions across all client accounts
- Support the operational efficiency of a growing content agency through reliable admin work
Requirements:
- Strong attention to detail and exceptional organizational skills
- Experience with file management systems and cloud storage platforms
- Comfort working with AI software and transcription tools
- Proficiency in basic administrative tasks including data entry and digital file organization
- Ability to work independently and manage multiple client folders simultaneously
- Reliable internet connection and computer setup for remote work
- Bonus if you have experience with content creation workflows or executive support
- It helps if you’re familiar with Zoom recording management and transcript processing
