Senior Construction Administrator

Work Schedule:

  • 9:00 am to 6:00 pm (Sydney, AU)

 

This is a construction-first role, not a generic VA or bookkeeping position. The successful candidate will own contract administration, variation control, cost tracking support, WHS documentation, CRM management, and construction administration systemisation across multiple bespoke residential projects.

We are specifically seeking someone who is highly motivated, driven, and holds themselves to high personal standards. This role suits a professional who takes pride in accuracy, organisation, and follow-through.

The ideal candidate is proactive, self-sufficient, highly capable in Excel, comfortable running tasks and projects end-to-end, confident working without micromanagement, timeline- and organisation-driven, and excellent at opening, managing, and closing tasks. This person completes what they start, manages timelines rigorously, and takes ownership of outcomes.

 

Core Responsibilities:
• Contract administration (contracts, variations, registers, document control)
• Cost tracking & construction accounts support (administrative only)
• Liaison with site supervisors, subcontractors, and suppliers
• WHS and compliance documentation management
• CRM maintenance (sales and construction)
• Backend filing, archiving, and document control
• Systemising construction admin workflows
• Documenting SOPs and contributing to business playbooks

 

Mandatory Experience & Skills (Non-Negotiable)
• Minimum 3+ years of experience in custom residential construction
• Proven experience in contract or construction administration
• Advanced Microsoft Excel / high-level Excel competency
• Strong working knowledge of Xero
• Hands-on experience with WonderBuild (construction CRM)
• Hands-on experience with Go High Level (sales & CRM automation)
• Canva proficiency (document formatting, internal templates, playbooks)
• Excellent written and verbal English
• Highly organised with exceptional attention to detail
• Comfortable liaising with site teams and senior management
• Able to work independently in a remote environment
