This established team of four professionals is focused on scaling their operations and freeing up licensed agents to concentrate on revenue-generating activities. You’ll play a crucial role in supporting their growth by handling critical administrative and business development tasks.
Job Description: You’ll be the operational backbone that allows licensed insurance agents to focus on what they do best – writing policies and growing the business. This role combines administrative excellence with marketing support, making it perfect for someone who enjoys variety and wants to directly impact a thriving insurance practice. You’ll handle document management and light marketing tasks ensuring seamless operations while supporting the agency’s growth objectives.
Responsibilities
Administrative & CRM Support (Primary Focus)

Send review requests, thank-you messages, and referral requests via email and text only

Document contact attempts and flag win-back opportunities in the CRM

Monitor DocuSign and Adobe for completed documents; save, upload, and organize files in Dropbox and agency systems

Monitor fax inbox and notify producers of incoming documents

Upload new client data into Agency Zoom CRM:

Maintain and update accurate client records in Agency Zoom

Monitor carrier alerts from Progressive, Foremost, and Bristol West
-
Run and flag weekly carrier reports

Monitor cancellations and non-renewals and alert licensed agents

Handle routine administrative follow-ups and internal coordination tasks

Support licensed agents by keeping workflows organized and up to date
Social Media & Video Content Support (Light / Secondary Focus)

Create and edit short-form videos for marketing and client communication

Manage light social media posting schedules (content provided or guided)

Edit and repurpose existing content for social platforms

Maintain professional, brand-aligned visual standards

Assist with digital marketing tasks the internal team does not have capacity to complete
Requirements

Strong written communication skills (email and text-based communication)

Experience with CRM systems and document management tools

Proficiency with cloud-based platforms such as Dropbox, DocuSign, and Adobe

Basic to intermediate video editing skills

Familiarity with social media platforms and posting best practices

High attention to detail and strong organizational skills

Ability to work independently and manage multiple tasks
