Our client is a dynamic events company specializing in DJ services, photography, and videography for corporate events, weddings, and special celebrations. Managing multiple events each month, the business has ambitious growth plans for the year ahead. You’ll serve as the operational backbone of a growing events business, ensuring seamless client experiences while freeing up leadership to focus on revenue-generating activities. This role offers a balanced mix of client interaction, creative project coordination, and administrative support.

Your work will directly impact client satisfaction and operational efficiency while supporting a company that is scaling rapidly and values your contributions.

 

Responsibilities

  • Respond to client inquiries and communications within a 24-hour SLA to maintain exceptional service standards

  • Create detailed schedules and timelines for event teams to ensure flawless execution

  • Generate and send quotes and contracts through HoneyBook CRM to support and advance the sales pipeline

  • Manage photo and video deliverables by uploading content to galleries and preparing files for client approval

  • Coordinate team scheduling and send calendar invitations to ensure smooth operations

  • Handle client follow-ups and escalations to maintain strong relationships

  • Schedule and manage social media posts to enhance the company’s online presence

  • Provide comprehensive email management and administrative support using Google Workspace

 

Requirements

  • 2–5 years of administrative or virtual assistant experience with a proven ability to work independently

  • Proficiency with CRM systems (HoneyBook experience preferred) and Google Workspace

  • Strong written and verbal communication skills with a professional, client-facing approach

  • Reliable internet connection and comfort working in a fully remote environment

  • Bonus: Photography editing experience, particularly with Lightroom

  • Preferred: Basic marketing knowledge and social media familiarity

  • Analytical and reporting capabilities are a plus
