Job Description:
You’ll be the organizational backbone for a driven business leader who needs reliable support to manage both her company launch and family responsibilities. This isn’t just administrative work—you’ll be directly enabling business growth while providing crucial assistance with personal matters that require discretion and care. You’ll work with cutting-edge tools, handle diverse responsibilities, and have the flexibility to grow with the business as it scales.
Responsibilities:
- Organize and streamline digital systems across multiple cloud platforms and storage solutions
- Consolidate and manage multiple email inboxes to create efficient communication workflows
- Format data and prepare materials for critical business meetings and presentations
- Coordinate medical appointments and manage scheduling for children with special needs
- Handle sensitive personal errands including prescription verification and pharmacy coordination
- Maintain and optimize both business and personal calendar systems
- Provide administrative support for new company launch activities and initiatives
- Manage confidential medical records and files with complete discretion and security protocols
Requirements:
- 3-5 years of experience as a personal assistant, virtual assistant, or similar administrative role
- Strong proficiency with Mac systems and Apple software suite (Pages, etc.)
- Advanced experience with Google Workspace (Docs, Gmail, Drive, Calendar)
- Familiarity with AI tools and cloud storage platforms for digital organization
- Excellent written and verbal English communication skills with clear, professional phone presence
- Proven ability to handle sensitive and confidential information, particularly medical records
- Bonus if you have experience working with families or individuals with special needs
- It helps if you’re comfortable with flexible schedules and can adapt to changing priorities
