French Bilingual Executive Assistant

    Daily Schedule: 9:00 AM – 6:00 PM Ontario time (1 hour unpaid break)

We are a bilingual (English–French) professional services firm serving nonprofit organizations. The business provides accounting, advisory, and financial reporting support, with a growing focus on webinars, workshops, and client education initiatives.

 

Role Overview

We are seeking a highly proactive, experienced Executive Assistant to provide full-time support to the Founder/C-level executive. This role goes beyond traditional administrative work and blends executive support, presentation creation, social media assistance, and operational follow-through.

 

The ideal candidate is independent, detail-oriented, and already proficient in the required tools — particularly Canva and social media platforms — and does not require step-by-step training to execute tasks.

 

This is a long-term opportunity with room for growth as responsibilities expand over time.

 

Responsibilities

Executive & Administrative Support

  • Manage and monitor executive email inbox; organize, prioritize, and follow up on emails as needed

  • Track action items from client and internal meetings and proactively follow through until completion

  • Assist with scheduling, coordination, and general executive support tasks

  • Support invoicing and other administrative processes as responsibilities transition over time

Presentations & Webinar Support

  • Create professional, polished presentations using Canva for:

    • Board presentations

    • Financial statement presentations

    • Webinars and workshops

  • Draft first versions of presentations independently and revise based on feedback

  • Maintain consistency with brand style and presentation standards

Social Media & Online Engagement

  • Assist with drafting and posting content on social media platforms (primarily LinkedIn and Instagram)

  • Monitor comments and messages and respond on behalf of the executive as appropriate

  • Support basic social media engagement and community interaction

Communication & Coordination

  • Draft professional written communications on behalf of the executive

  • Use translation tools (e.g., ChatGPT or similar) to support French-language responses when needed

  • Ensure clear, timely communication with clients and internal team members

 

Requirements

Experience & Skills

  • Proven experience as an Executive Assistant or similar role, supporting senior leadership

  • Strong proficiency in Canva (presentation design is required)

  • Experience supporting or managing social media accounts (LinkedIn, Instagram preferred)

  • Excellent written and verbal English communication skills

  • Highly organized, detail-oriented, and proactive

  • Able to work independently without constant supervision

  • Canva (advanced / confident user)

  • Social media platforms (LinkedIn, Instagram)

  • Email and calendar management tools

  • Comfortable using productivity and AI tools (e.g., ChatGPT, translation tools)
