This role is designed to help bring order, clarity, and follow-through to the chaos of growing a company from the ground up.


Job Description

As the Marketing Operations Assistant, you’ll work directly with the founder to bring ideas to life — helping organize, execute, and systemize the work behind programs, partnerships, and customer experience.

Your sweet spot is that space between creativity and organization: you can take a concept, find the right tools, and make it run smoothly. This isn’t just another marketing role — you’ll help build the foundation for scalable systems and coordinated marketing operations.


Key Responsibilities

Operational & Vendor Support

  • Manage CRM platforms (HubSpot, Airtable, or similar) — keeping contacts clean, tagging accurate, and workflows humming.
  • Manage inbox organization, scheduling, and follow-ups with clients, vendors, and partners.
  • Manage vendor communications and orders for merchandise, signage, and branded materials.
  • Track delivery timelines, quotes, and invoices.
  • Maintain organized records for contracts, certificates of insurance (COIs), and inventory.
  • Handle expense tracking, invoice coordination, and light bookkeeping support.
  • Maintain key databases, filing systems, and digital workspaces (Google Drive, Notion, etc.).
  • Help keep projects and deadlines on track through Coda, or similar tools.

Customer & Community Coordination

  • Manage inbox inquiries from parents, coaches, and community members.
  • Assist with customer communication, inquiries, and light operational logistics.
  • Update booking links, forms, and confirmation templates in Square, Xplor Recreation, or Google Forms.
  • Ensure all inquiries are logged, responded to, and followed up on consistently.

Marketing Operations

  • Support the execution of marketing campaigns — setting up email automations, formatting newsletters (Flodesk or similar), updating lists, and building simple landing pages.
  • Maintain organized brand folders, asset libraries, and content archives.
  • Assist in preparing presentations, sponsorship one-pagers, and partnership proposals.
  • Draft short-form content (emails, blog posts, captions) aligned with brand tone.
  • Update basic website content (Squarespace, Webflow, or Wix-level familiarity).
  • Assist with light graphic design (Canva, Figma, Adobe preferred).
  • Support with surveys, forms, and UX testing for programs and client feedback loops.
  • Coordinate brand assets and presentation decks for marketing and partnership materials.

Executional Project Support

  • Turn high-level founder notes and creative ideas into action plans, timelines, or project briefs.
  • Support scheduling, follow-ups, and coordination between contractors, designers, and coaches.
  • Create simple Canva graphics for internal or partner use (not primary content creation).
  • Help coordinate cross-functional marketing projects (content production, partnerships, events).

Requirements

  • 3+ years of experience in marketing coordination, administrative operations, or business support.
  • Strong proficiency in Google Workspace, Zapier, and Canva is preferred but not required.
  • Experience managing client communications, vendor coordination, and digital workflows.
  • Ability to keep projects moving independently and proactively problem-solve.
  • Organized yet flexible — comfortable working in a fast-paced startup environment with shifting priorities.
  • Bonus: Familiarity with Square, Flodesk, or Webflow.
