A rapidly growing solo therapy practice with a waiting list “about a mile long” is expanding from a sole proprietorship to an S-corporation. The therapy practice sees 6-7 clients daily and needs dedicated backend support to handle the administrative demands of scaling a successful mental health practice.
Job Description:
You’ll be the operational backbone of a thriving therapy practice, handling critical business functions that directly enable the therapist to focus on patient care. This role offers the unique opportunity to support meaningful mental health work while gaining experience in business operations, legal coordination, and healthcare administration. You’ll play a vital role in the practice’s expansion and have the potential to grow into marketing, scheduling, and client intake responsibilities as the business scales.
Responsibilities:
- Interface with insurance companies on behalf of the practice to resolve claims and coverage issues
- Coordinate communications with lawyers, accountants, and other professional service providers
- Manage business structure transition from sole proprietorship to S-corporation
- Schedule and coordinate meetings with various professionals and vendors
- Prepare and manage NDAs, trademark applications, and other legal documentation
- Handle general administrative tasks, including email management and file organization
- Supportthe accountant communications and financial coordination
- Assist with business compliance and regulatory requirements
- Maintain organized records of all professional communications and documentation
- Provide flexible backend support during the therapist’s 9 AM–7 PM office hours
Requirements:
- 3-5 years of administrative experience with strong organizational skills
- Excellent written and verbal communication skills for professional interactions
- Experience interfacing with insurance companies, legal professionals, or accounting firms
- Comfortable working independently with minimal supervision
- Reliable internet connection and professional home office setup
- Ability to handle confidential information with discretion
- Bonus if you have experience with healthcare administration or small business operations
