Overview
We are looking for a reliable and detail-oriented Administrative Assistant to support our day-to-day operations. This role will work closely with the owner and office manager, assisting with bid preparation, subcontractor coordination, and general administrative tasks to keep the business running smoothly.
Key Responsibilities

Bid & Subcontractor Support

Gather pricing, estimates, and required information from subcontractors for construction bids

Follow up with subcontractors via email or phone to ensure timely responses

Organize and track subcontractor quotes and bid-related documents

Email & Communication Management

Sort, organize, and categorize incoming emails

Flag urgent or time-sensitive messages for the owner or office manager

Respond to routine inquiries as directed

Administrative & Office Support

Assist with day-to-day administrative tasks as needed by the owner or office manager

Maintain organized digital records and files
-
Support general office operations and ad-hoc tasks

Required Skills & Qualifications

Previous experience as an Administrative Assistant or similar role

Strong organizational and time-management skills

Excellent written and verbal communication skills

Comfortable following up with subcontractors and external contacts

High attention to detail and ability to manage multiple tasks

Proficiency with email, spreadsheets, and basic office tools
