Special Education Case Coordination Assistant

Work Schedule:

  • Schedule: 1:00 PM - 5:00 PM California time

  • 20 hours per week


Scope:

  • Administrative and clerical focus - no customer service or lead generation responsibilities

  • Work involves legal document compliance and deadline management

  • The primary goal is catching up on the current backlog and maintaining an efficient workflow

  • Collaboration with a single business owner in a specialized advocacy practice

Responsibilities:

  • Manage high-volume email correspondence (50+ emails daily), including coordination of meeting times and timely responses to parents, administrators, teachers, and service providers

  • Complete and file various forms requested by schools, districts, and service providers with accurate dates, times, and documentation

  • Maintain organized filing systems for case documentation and legal compliance materials

  • Follow up on paperwork submissions and track response deadlines for IEP-related documents

  • Support administrative tasks related to special education case management

  • Coordinate communication between multiple stakeholders, including parents, school administrators, teachers, and service providers

  • Ensure compliance with legal deadlines for Individual Education Plan processes and documentation

 

Requirements:

  • 2-5 years of administrative or virtual assistant experience

  • Proficiency with project management tools (Asana, Monday.com, ClickUp, or similar platforms)

  • Strong skills with calendar management and document handling

  • Excellent written communication skills for professional email correspondence

  • Detail-oriented approach with the ability to manage legal document deadlines

  • Proactive communication style - comfortable asking questions for clarification rather than assuming understanding

  • Experience with educational, legal, or compliance-focused administrative work preferred
