  • Mondays to Fridays, 8:00 am to 5:00 pm, with 1-hour unpaid break

Job Description: 

You’ll be the right hand to a managing partner in a fast-paced executive search environment, where your proactive approach and professional services expertise will directly impact business growth. This isn’t just administrative support – you’ll be instrumental in streamlining high-level operations, managing strategic communications, and supporting business development initiatives that drive the firm’s continued expansion. You’ll work independently with minimal oversight, taking ownership of critical executive functions while having the opportunity to grow with a thriving business.

 

Responsibilities:

  • Proactively manage the executive calendar and coordinate strategic meetings without requiring multiple approvals
  • Draft and send professional client communications and emails on behalf of the managing partner
  • Prioritize and flag important emails in the executive inbox with strategic insight
  • Coordinate conference follow-ups and pre-conference meeting scheduling to maximize networking ROI
  • Manage and update the company website using WordPress to support business development efforts
  • Create and manage LinkedIn content and social media presence to enhance firm visibility
  • Handle newsletter management through MailChimp for client and prospect communications
  • Support business development initiatives and maintain high-level client relationships
  • Provide executive-level administrative support for search operations and proposals

 

Requirements:

  • Previous experience as Executive Assistant to the CEO, Managing Partner, or C-suite executive
  • Strong understanding of B2B professional services business models and client communication protocols
  • Excellent written and verbal English communication skills with the ability to represent executive leadership
  • Proficiency in WordPress for website management and updates
  • Experience with MailChimp for newsletter and email marketing management
  • Adobe Photoshop skills for marketing materials and content creation
  • Proactive work style with the ability to take initiative and work independently
  • Bonus if you have executive search, recruiting, or staffing industry experience
  • It helps if you have experience supporting leaders in professional services firms (law, CPA, consulting)
  • QuickBooks experience is a plus, but not mandatory
