Operations & Data Support Assistant

Work Schedule:

  • 9:00 am to 5:00 pm (40 hours per week)

  • Client time zone: US Pacific Time (California)

 

Scope:

  • Supporting the CEO, Director of Administration, and Director of Procurement
  • Mix of 60% data entry/administrative tasks, 30% research, 10% special projects
  • Opportunity for role expansion and increased responsibilities over time
  • Working with complex manufacturing processes involving hundreds of vendors
  • Managing multiple concurrent van build projects (approximately 50 per year)
  • Potential for growth into operations management as the company scales

 

Responsibilities:

  • Perform data entry from invoices and spec sheets into multiple systems (Google Sheets, Word documents, Asana)
  • Create and maintain detailed spreadsheets for van builds with 100+ parts per project
  • Manage inventory tracking and procurement deadline coordination
  • Handle HR administrative tasks, including maintaining employee portfolios on Asana
  • Track employee absences and HR documentation
  • Provide calendar management and scheduling support for executives
  • Conduct research tasks, including competitor analysis and vendor research
  • Process and organize meeting transcripts from Otter AI recordings
  • Create SOPs and training documentation
  • Support multiple team members across procurement, administration, and executive functions
  • Manage ticketing system for administrative requests
  • Assist with general administrative tasks as the company scales

 

Requirements:

  • Strong experience with data entry and spreadsheet management (Excel/Google Sheets)
  • Proficiency with project management tools, particularly Asana
  • Excellent English communication skills
  • Experience with multiple software platforms and the ability to learn new tools quickly
  • Strong research and analytical capabilities
  • Administrative experience supporting multiple stakeholders
  • Familiarity with AI tools and willingness to adapt to new technologies
  • Ability to work Pacific Time Zone hours initially for training
  • Flexibility to adapt role responsibilities as business needs evolve
