Overview

We are seeking a proactive and detail-oriented Executive Assistant to join a growing hospitality and vacation management company. This role provides direct support to the founder, taking ownership of critical day-to-day operations while helping shape the future of a fast-growing business.

You’ll manage guest communications, financial administration, property management tasks, and marketing initiatives while building systems and processes that will scale with the company. This position offers significant growth potential and a chance to be a true business partner.

Schedule: Wednesday – Sunday, 10:00 AM – 7:00 PM CST (1-hour break)

Responsibilities

  • Own email triage and executive communication management across all business channels
  • Deliver exceptional guest communication and customer service for vacation rental clients
  • Manage bill payments, financial administrative tasks, and accounting coordination
  • Coordinate complex scheduling and travel logistics for executive and business operations
  • Handle property management tasks including vendor coordination and tenant communications
  • Support marketing initiatives by posting offers on marketplaces and promotional forums
  • Manage phone systems and customer calls as the business scales
  • Partner directly with the founder on strategic projects and operational improvements
  • Adapt quickly to new responsibilities and challenges as the company grows
  • Build and refine processes that will support long-term business expansion

Requirements

  • 2–3 years of experience working with US companies in property management or hospitality sectors
  • Excellent written and oral English communication skills with professional client-facing abilities
  • Strong administrative and organizational capabilities with attention to detail
  • Experience managing financial administrative tasks and bill payment processes
  • Ability to work independently while following guidance and established frameworks
  • Growth-oriented mindset with genuine excitement for learning and taking on new challenges
  • Curious and resourceful problem-solving approach to unfamiliar situations

Bonus / Nice-to-Have:

  • Experience with vacation rental platforms or hospitality software
  • Comfortable with light marketing tasks and marketplace management

Side Note

Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
