As an Administrative Assistant, you’ll support daily operations, scheduling, and internal coordination while working with industry-specific software. Scope of Responsibilities
- White-Glove Client Support: Act as the primary point of contact via phone and email. You will handle inquiries, bookings, and real-time troubleshooting with extreme professionalism.
- Complex Logistics: Manage dense scheduling across multiple markets using Aryeo, ensuring 5,000+ annual shoots are coordinated with zero errors.
- Real-Time Problem Solving: Act as the central hub between agents and photographers. When a shoot hits a snag (weather, traffic, access issues), you are the calm voice that finds the solution.
- Data Integrity: Download, organize, and manage high volumes of media files and project statuses within our tech stack.
- Internal Sync: Maintain constant, clear communication with the team via Slack to ensure operational transparency.
Requirements:
- Refined Phone Presence: Mandatory. You must have a near-native, neutral English accent with exceptional clarity. You must sound confident and natural when speaking with U.S.-based clients.
- Experience: 3+ years in a professional admin or client-facing role. Hospitality or Real Estate experience is a significant plus.
- Availability: Must be able to commit to a Thursday – Monday schedule (Weekends are our highest-demand days).
- Tech Savvy: Ability to master industry-specific software (Aryeo) independently and navigate Slack/Google Workspace with ease.
- You remain calm under pressure, you are detail-obsessed, and you have a "smile in your voice" even during difficult conversations.
Side Note
This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
