The company previously managed teams of up to 50 workers during concrete operations and 12-person renovation crews and is now operating with subcontractor partnerships while building a structured organization with dedicated departments for administration, estimating, and construction. The business is positioned for rapid growth, with active development opportunities including a 40-unit residential project in pre-construction and partnerships with land developers. 

Schedule

  •  Full-time – 40 hours per week The role requires strong availability during US Eastern Time business hours (9:00 AM – 5:00 PM ET) to support real-time collaboration with the founder, clients, architects, and subcontractors. This is approximately: 9:00 AM – 5:00 PM US Eastern Time Ideal candidates are located in South America or nearby time zones to ensure seamless real-time communication

Role overview 

We are looking for a highly organized and proactive Executive Assistant to work directly with the founder and help manage daily operations, communication, and workflow organization. This role follows the “buy back your time” philosophy, where the Executive Assistant takes ownership of administrative and operational coordination so the founder can focus on business development, client relationships, and strategic growth. The ideal candidate will function as a true right-hand assistant who keeps projects, tasks, and communication organized while ensuring nothing falls through the cracks. Candidates with construction industry exposure will have a strong advantage. 

Responsibilities

  • Executive Support
  • Manage the founder’s calendar, meetings, and task priorities
  • Organize email communications and ensure timely follow-up
  • Track action items and ensure deadlines are met
  • Prepare meeting notes and manage follow-through Operations & Task Management
  • Organize workflows and projects using Wrike
  • Maintain visibility on project tasks and deliverables
  • Coordinate communication between the founder, clients, subcontractors, and partners
  • Ensure operational tasks are completed on time Systems & Process Organization
  • Develop and document Standard Operating Procedures (SOPs)
  • Improve administrative workflows and operational systems
  • Maintain organized documentation and internal knowledge resources Project Coordination
  • Schedule calls, meetings, and project discussions
  • Support administrative coordination across construction projects
  • Assist in organizing project files and documentation 

Requirements:

Experience

  • Minimum 5 years experience as an Executive Assistant supporting a CEO or founder
  • Experience supporting fast-paced entrepreneurial environments preferred
  • Construction industry experience is a strong advantage

Skills

  •  Exceptional organizational and time-management skills
  •  Strong ability to create and document SOPs and workflows
  •  Highly proactive with strong follow-through
  •  Excellent written and verbal communication skills
  •  Ability to anticipate needs and stay ahead of priorities

Tools:

  Experience with the following is highly valued:

  •  Wrike (preferred), Project management software , CRM systems , Google Workspace or Microsoft Office

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
