Overview:
We are seeking a highly organized, detail-oriented Operations & Executive Support Coordinator to streamline our administrative operations. You will serve as the central point of contact for multiple team members, managing the "gears" of the business—from invoicing and insurance compliance to complex calendar coordination. We are looking for a proactive professional who "collects" tasks and executes them with 100% accuracy, freeing up our leadership team to focus on development and growth.
Schedule:
- Mondays to Fridays, 8:00 am to 5:00 pm (US Eastern Time), with a 1-hour unpaid break (40 hours per week)
- Core Requirement: Daily check-in call at 8:30 am (US Eastern Time)

Key Responsibilities:
- Document Control: Responsible for the systematic naming of files and maintaining a clean, searchable digital filing system. You are the "go-to" person for finding any document at a moment's notice.
- Insurance & Compliance: Proactively monitor and request updated Insurance Certificates (COIs) from vendors and partners when existing ones expire. Manage the onboarding and review process with outside consultants and follow up as needed to secure consultant approval of new vendors.
- Violations Resolution: Manage and coordinate with outside consultants to ensure that all new violations are submitted to the consultant and track progress of violation resolution, including hearing dates, outcomes of hearings and payment of violations.
- Multi-Calendar Management: Schedule, confirm, and adjust meetings across multiple team calendars, anticipating conflicts before they happen.
- Communication & Travel: Flag urgent emails, research and book complex travel itineraries, and coordinate reservations for events.
- Meeting Support: Draft agendas, prepare summary notes, and ensure all professional contacts are maintained and followed up with appropriately.
Qualifications:
- Experience: 3+ years in an EA or Administrative Manager role, preferably in Real Estate, Construction, or Development.
- Detail Obsession: A natural inclination toward "organizing the chaos." You find satisfaction in a perfectly named file and a zeroed-out inbox.
- Technical Proficiency: Expert in Microsoft 365, Microsoft Suite of products (Word, Excel, PowerPoint, etc.), and document management systems.
- Proactive Mindset: You don't wait for a certificate to expire; you see it's expiring in 30 days and handle it now.

- This is a permanent work-from-home role under an Independent Contractor arrangement.
