Role Name: Medical Administrative Assistant
Schedule: Monday to Friday, 9am to 1pm Eastern
Client Overview: A rapidly growing cardiovascular specialty practice that treats patients with POTS, MCAS, and Ehlers-Danlos syndrome—conditions that very few doctors worldwide specialize in treating together. This new practice has experienced exceptional growth due to its unique expertise, creating an urgent need for administrative support to help manage increasing patient volume while maintaining excellent care standards.
Job Description: You’ll play a crucial role in supporting a specialized medical practice that’s making a real difference for patients with complex, rare conditions. As their Medical Virtual Assistant, you’ll help streamline operations for a growing team that includes the Director of Operations, medical assistants, and part-time nurses. This is an opportunity to contribute to meaningful healthcare outcomes while working remotely with a dedicated team that values efficiency and patient care.
Responsibilities:
- Answer inbound patient calls and direct them to appropriate team members
- Take detailed messages and handle patient inquiries with professionalism
- Manage patient scheduling and appointment coordination
- Process and upload medical records into the EHR system with accurate categorization
- Scan and organize large volumes of patient documentation (sometimes 200+ documents per patient)
- Label medical documents appropriately (imaging results, lab reports, specialist notes)
- Provide administrative support to the Director of Operations and medical staff
- Follow HIPAA-compliant processes and maintain strict patient confidentiality
- Support general administrative tasks as the practice continues expanding
- Handle patient communication with understanding of complex medical conditions
Requirements: You bring medical background or experience working with US medical companies, strong communication skills for patient interactions, and experience with EHR systems and medical documentation. You understand HIPAA compliance requirements and can handle multiple tasks while maintaining attention to detail in a fast-paced environment. Bonus if you have familiarity with cardiovascular or specialty medical terminology, experience with high-volume document processing, or knowledge of POTS, MCAS, or Ehlers-Danlos syndrome.
