Research Sourcing Specialist (Legal Recruitment)

Job Overview

Our client is looking for a skilled Legal Sourcing Specialist to play a vital role in applying expert recruitment skills, and experience in identifying, assessing, and engaging top-tier experts across diverse industries to meet demanding legal case briefs. You’ll work closely with legal and account management teams to deliver timely, high-quality expert matches while building lasting relationships within your network. This is an exciting remote opportunity to join a dynamic, purpose-driven team supporting global clients.

This is a Recruitment based role with legal experience.

Schedule

  • Monday - Friday, 09:00 AM - 05:00 PM AEST, with 1 hour unpaid break (40 work hours per week)

    Note: Flexibility for early or late requests may be required.

Responsibilities

  • • Act as the first point of contact for new enquiries via email, phone, or our website, ensuring clients
    feel supported from the outset.
    • Accurately record new matters in our case management system to enable seamless tracking and
    progression.

    • Conduct conflict checks to uphold compliance and maintain client trust.
    • Maintain and organise the Research Team’s SharePoint folders, ensuring information is current,
    accessible, and reliable.
    • Develop and refine process documentation to support consistency and continuous improvement.
    • Audit matters at various stages to ensure accuracy, completeness, and smooth handovers.
    • Keep case management notes up to date with key correspondence to support effective
    collaboration.
    • Engage with clients during the information-gathering stage to keep matters progressing.
    • Draft clear and comprehensive handover notes to support the Case Management team.
    • Prepare professional follow-up communications for Researchers to send to clients.
    • Provide regular email updates to experts on matter progress.
    • Maintain accurate records of law firms, lawyers, and experts to support efficient workflows.
    • Coordinate and manage Preliminary Teleconference (PTC) scheduling between lawyers and
    experts.
    • Facilitate Preliminary Teleconference (PTC) when Research Associates are unavailable, ensuring
    continuity and momentum.

Requirements

  • Bachelor’s degree with 2+ years’ relevant experience.
    • Exceptionally detail-oriented and organised, with the ability to manage multiple priorities effectively.
    • Process-driven and efficient, with a strong focus on accuracy, quality, and consistency.
    • Comfortable handling enquiries and managing data with care and precision.
    • Strong process mindset, with an interest in workflow efficiency and continuous improvement.
    • Proficient in CRM systems, SharePoint, and Microsoft Office.
    • Excellent written and verbal communication skills, able to engage confidently and professionally
    with clients, experts, and internal teams.
    • Experienced in calendar and email management.
    • Able to work autonomously while contributing positively as a team player.
    • Comfortable supporting multicultural teams and working with international stakeholders.
    • Preferred: Experience in a legal or professional services environment.
