Accounts Administrator - AU Tax System

Role Overview

We are seeking a proactive and detail-oriented Bookkeeper / Accounts Administrator to support our growing business. This hands-on role is responsible for maintaining accurate financial records, managing day-to-day reconciliations, overseeing accounts payable and receivable, and ensuring the smooth operation of our financial systems as we work with multiple currency accounts.

The ideal candidate will have strong experience with Xero, solid Excel skills, and the confidence to manage financial workflows independently.

Work Schedule: 20 hours per week: - 4 hours per day during Melbourne business hours.

Key Responsibilities:

Financial Reconciliation & Reporting

  • Perform regular bank and credit card reconciliations
  • Reconcile accounts and investigate discrepancies
  • Prepare and maintain monthly financial reports and outstanding invoice spreadsheets
  • Assist with budgeting, cash flow management, and financial analysis

Accounts Payable & Receivable

  • Review and process supplier invoices (via Xero)
  • Manage accounts receivable: ensure timely invoicing, send payment reminders, and follow up on outstanding balances
  • Process virtual assistant invoices and prepare charge-out invoices for clients
  • Review and action bills for payment, scheduling as needed
  • Reconcile all bank statements to ensure accuracy

Administrative & Systems Support

  • Sort accounting-related emails, download and upload receipts into Xero
  • Maintain organised digital financial records
  • Review and allocate uncoded transactions in Xero
  • Conduct monthly report reviews and ensure all financial data is accurate
  • Cross-check reports and commission statements, submitting them for approval

Key Requirements

  • Proven experience in bookkeeping or financial administration
  • Strong proficiency in Xero and Excel
  • Familiarity with CRM tools is highly regarded
  • Excellent attention to detail, organisational skills, and a problem-solving mindset
  • Strong communication skills and ability to work autonomously

Desirable

  • Experience in the Australian Tax System as well as a good understanding of GST.
  • Understanding of multi-currency and international transactions
  • Comfortable working with remote teams and stakeholders across time zones

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
