Job Overview

We are seeking a detail-oriented Preconstruction & Commercial Coordinator to support the estimating, procurement, and preconstruction processes for residential building projects in Australia.

This role will play a critical part in preparing take-offs, developing bills of quantities, coordinating supplier pricing, and supporting the commercial setup of projects prior to construction. The ideal candidate has strong experience with Australian residential construction workflows, estimating software such as Buildxact, and a solid understanding of construction documentation and standards.

Schedule: 40 hours per week, Monday to Friday, 8:00 AM – 4:00 PM with 30-minute paid break (Duncraig, Western Australia timezone)

Key Responsibilities

Preconstruction & Estimating

  • Prepare residential quantity take-offs and detailed Bills of Quantities (BOQs) from architectural and engineering drawings
  • Set up and manage project estimates in Buildxact
  • Assist in creating estimating templates, workflows, and cost databases
  • Review drawings, specifications, and tender documents for scope completeness
  • Track revisions and coordinate updates when drawings or specifications change

Procurement & Supplier Coordination

  • Issue RFQs (Requests for Quotation) to subcontractors and suppliers
  • Compile and compare supplier quotes for accuracy, scope, and pricing
  • Maintain supplier databases and pricing records
  • Assist in evaluating subcontractor proposals and identifying cost variances
  • Support procurement planning and material scheduling

Documentation & Project Coordination

  • Manage addenda coordination and revision tracking across project documentation
  • Maintain organized records of tender documents, estimates, quotes, and revisions
  • Coordinate with estimators, project managers, and external consultants
  • Assist in preparing tender submissions and commercial documentation
  • Support project handover from preconstruction to construction teams

Reporting & Process Improvement

  • Generate cost comparison reports and pricing summaries
  • Assist with cost-to-complete analysis and estimate adjustments
  • Improve internal estimating and procurement workflows
  • Ensure compliance with Australian construction standards and documentation practices

Requirements

  • Proven experience in Australian residential construction estimating or preconstruction coordination
  • Strong experience with Buildxact or similar construction estimating software
  • Experience preparing take-offs and Bills of Quantities (BOQ)
  • Experience managing supplier RFQs and quote comparisons
  • Familiarity with Australian construction standards and building documentation
  • Knowledge of the National Construction Code (NCC) is preferred
  • Ability to read and interpret architectural, structural, and engineering drawings
  • Strong proficiency in Excel and construction documentation tools
  • Excellent attention to detail and organizational skills
  • Strong written and verbal communication skills

Nice to Have

  • Experience supporting Australian builders or residential construction companies
  • Experience working with tender submissions and procurement workflows
  • Knowledge of construction scheduling or project management software
  • Understanding of sustainable building
