Job Description:
You’ll be the backbone of a thriving psychiatric practice in the afternoon, ensuring seamless patient care and administrative excellence. Client Overview:
Join a boutique psychiatric practice where personalized patient care is the priority. This solo practitioner operates an out-of-network model, focusing on quality relationships over volume. You’ll be part of a small, tight-knit team where patients know staff by name and expect premium service.
Schedule:
- Mondays to Fridays, 2:00 to 6:00 pm (US Eastern Time, 20 hours per week)

Key Responsibilities:
- Generate and send superbills to patients for insurance reimbursement processing
- Handle incoming patient phone calls with professionalism and care
- Respond to patient messages within the electronic health record system
- Process prescription refill requests by reviewing patient charts for eligibility and timing
- Execute credit card billing for patient services
- Create and manage important documents like school absence notes using DocHub
- Provide reliable coverage during doctor vacation periods to ensure uninterrupted patient care
- Occasionally, transfer AI scribe content into patient notes as needed
- Maintain organized administrative workflows that support seamless practice operations
- Build and nurture patient relationships in a personalized healthcare environment
Requirements:
- 3+ years of healthcare administrative experience, preferably in medical or psychiatric settings
- Strong attention to detail and accuracy when handling sensitive patient information
- Excellent communication skills for professional patient interactions
- Ability to work independently and proactively remind healthcare providers of important tasks
- Proven reliability and commitment to consistent schedule coverage
- Experience with electronic health records systems and medical billing processes
- Bonus if you have HIPAA compliance knowledge and experience
- It helps if you have experience in boutique or concierge medical practices
