Executive Assistant – Operations, Marketing & Project Support

Job Overview

Our client is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Chief Development Officer (CDO) and President. This role combines executive assistance, project management, marketing support, and operational coordination. The ideal candidate is strategic, detail-oriented, and capable of supporting both internal operations and client-facing initiatives. Sales experience is considered a significant advantage.

Schedule

  • Monday - Friday, 9am - 6pm EST, with a 1 hour break (40 work hours per week)

Responsibilities

  • Executive Support: Provide comprehensive support to the CDO and President, including complex calendar management, correspondence, and meeting preparation.
  • Document & Workflow Management: Manage DocuSign processes and document workflows; handle development functionality and maintain accurate business and client records.
  • Operational Coordination: Perform data entry and maintain organized records; act as a liaison between internal teams to ensure smooth communication and workflow.
  • Project Management: Oversee projects by tracking milestones, deadlines, and deliverables to ensure successful execution.
  • Marketing & Sales Support: Assist with marketing initiatives such as campaign coordination, lead generation, and content support; provide outreach and CRM updates for sales initiatives.
  • Process Improvement: Proactively identify operational gaps, efficiency opportunities, and process improvements.

Requirements

  • High level of maturity, professionalism, and independent thinking.
  • Strong project management capabilities with experience overseeing multiple initiatives.
  • Exceptional organizational and administrative skills with experience in document management systems.
  • Excellent written and verbal communication skills for professional client-facing interactions.
  • Ability to work autonomously, provide strategic input, and anticipate executive needs.

Qualifications

  • Previous experience supporting C-level executives (Preferred).
  • Marketing and/or sales lead generation experience (Preferred).
  • Proficiency in DocuSign and CRM platforms (Preferred).

Side Note

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
