Our client is looking for an Executive Assistant to support executive-level operations across multiple business entities. The role focuses on financial administration, digital organization, and systems management, requiring strong attention to detail and technical proficiency. The ideal candidate will work independently with minimal supervision and demonstrate resilience in handling repetitive tasks across a 17-company structure.

Client Overview

The organization operates a multi-entity structure consisting of 17 companies that prepare reserve studies for properties across multiple office locations. The corporate office oversees operations and requires administrative support to manage cross-entity coordination and financial processes.

Schedule

  • Monday - Friday, flexible, though Pacific Time alignment is preferred (40 work hours per week)

Responsibilities

  • Digital File Management: Organize and maintain complex Dropbox folder structures across 17 separate business entities.
  • Financial Data Transfer: Transfer monthly tax returns from accounting portals to the appropriate entity-specific Dropbox folders.
  • QuickBooks Maintenance: Reconnect and maintain bank account integrations within QuickBooks on a monthly basis.
  • Multi-Entity Bookkeeping: Manage financial data entry and bookkeeping tasks across multiple QuickBooks accounts.
  • Administrative Replication: Handle various administrative responsibilities requiring precise replication across 16 separate companies.

Requirements

  • Minimum 2 to 5 years of experience in an executive assistant or administrative role.
  • Demonstrated proficiency with QuickBooks for bookkeeping and financial management tasks.
  • Strong English communication skills, both written and verbal.
  • Ability to work independently with high self-direction in a remote environment.

Qualifications

  • Experience with Dropbox for professional file management and organization (Preferred).
  • Exceptional attention to detail when handling sensitive financial information (Preferred).
  • Ability to quickly learn and adapt to various software tools and platforms (Preferred).

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
