Job Overview

As a Medical Assistant, you will be the vital first point of contact for patients seeking psychiatric care. You will play a crucial role in streamlining clinical operations and ensuring a seamless experience for individuals navigating their mental health journey. Client Overview

Join a growing mental health practice that provides both traditional psychiatric services and innovative Transcranial Magnetic Stimulation treatments. The practice operates with a collaborative team of psychiatrists, nurse practitioners, physician assistants, and therapists. They are dedicated to a supportive, patient-centered environment, serving a diverse patient base through both in-person and telehealth platforms.

Schedule

  • Monday - Friday, 1:00 PM – 6:00 PM Eastern Time (25 hours per week). Availability to work every other Saturday is highly preferred and considered a significant bonus.

Responsibilities

Patient Coordination & Communication

  • Front-Desk Support: Answer incoming calls and provide professional, empathetic customer service to patients seeking mental health support.
  • Scheduling: Manage complex calendars to schedule both in-office visits and telehealth sessions for multiple providers.
  • Onboarding: Distribute new patient intake forms and track completion to ensure a smooth transition into care.
  • Triage: Take detailed messages and route them accurately to the appropriate healthcare team members (e.g., Doctors, PAs, or Billing).

Insurance & Billing Operations

  • Benefits Verification: Verify insurance eligibility and mental health benefits to ensure patients understand their coverage before treatment begins.
  • Payment Processing: Securely process patient co-pays and payments, handling billing inquiries with extreme accuracy and sensitivity.
  • Administrative Support: Support general billing functions, scan documents, and maintain comprehensive, audit-ready digital patient records.

Clinical Administrative Support

  • Prescription Workflow: Initiate prescription refill processes and coordinate with healthcare providers to ensure timely completion.
  • Specialized Treatment Support: Assist in administrative tasks related to innovative treatments and patient tracking.
  • Communication Management: Monitor and respond to practice emails promptly to maintain a high standard of patient-provider communication.

Requirements

  • Communication: Exceptional verbal and written English skills for sensitive patient interactions.
  • Healthcare Experience: Proven experience with medical administrative tasks and clinical workflows.
  • Detail-Oriented: A meticulous approach to handling sensitive PHI (Protected Health Information) and documentation.
  • Insurance Literacy: Strong familiarity with US insurance verification processes and basic medical billing concepts.
  • Professionalism: A calm, professional demeanor when interacting with patients in distress and high-level healthcare providers.
  • Technical Proficiency: Comfortable navigating EHR/EMR systems and general office software.

Qualifications

  • Previous experience in a Mental Health or Psychiatry practice (Highly Regarded).
  • Familiarity with Telehealth platforms (e.g., Doxy.me, Zoom for Healthcare) (Preferred).
  • Experience with specialized psychiatric administrative workflows (Nice to Have).
