Operations & Project Coordinator

Job Description

You’ll be the operational backbone supporting a dynamic team that’s transforming how construction businesses manage their finances. This role offers the unique opportunity to work alongside advanced AI agents while managing critical processes that directly impact business growth. You’ll own key projects from start to finish, interact with customers and stakeholders, and help scale operations as the company expands rapidly.

Schedule:

  • 8 AM - 5 PM EST with 1 hour unpaid break; 40 hours per week

Responsibilities

  • Manage comprehensive administrative support including scheduling, coordination, and stakeholder communication
  • Own the complete quarterly grant process from application through recipient interviews and final execution
  • Serve as project manager for operational initiatives, ensuring timely delivery and stakeholder alignment
  • Collaborate with AI agents and technology platforms to optimize business operations
  • Interact professionally with customers, grant recipients, and external partners
  • Keep cross-functional teams on track and ensure project timelines are consistently met
  • Handle small to medium-sized projects independently with minimal oversight
  • Support the operations team’s scaling efforts as the company grows

Requirements

  • Strong command of English for customer and stakeholder interactions
  • Comfortable working with technology and AI tools (experience with AI platforms is a bonus)
  • Proven experience in administrative support and project management
  • Ability to manage processes end-to-end and keep projects moving forward
  • Full-time availability during Eastern Time business hours
  • Experience in financial services or construction industry is helpful but not required
  • Bonus if you have experience with grant management or process optimization
