Overview
We are seeking a reliable and detail-oriented Virtual Assistant to support the daily operations of multiple short-term rental properties.
This role is ideal for someone with experience in short-term rental or property management who is comfortable handling guest communication, coordinating property turnovers, monitoring systems, and assisting with operational tasks.
Schedule: 40 hours a week; Mon-Fri 8am-5pm Eastern Time Zone (New York)

Responsibilities
Operations & Turnover Management
- Turnover Coordination: Manage cleaning schedules between reservations to ensure on-time property readiness.
- Quality Control: Verify property standards via photo/video reviews and address maintenance or supply issues with cleaners.
- Maintenance & Supplies: Track inventory, order supplies, and coordinate repairs with vendors and service providers.
Guest Experience & Communication
- Guest Relations: Manage all inquiries and messaging across booking platforms, handling special requests and check-in logistics.
- Property Monitoring: Oversee security cameras and noise/temperature alerts to ensure guest safety and rule compliance.
Revenue & Marketing Support
- Growth Research: Assist in property prospecting and lead generation for new management clients.
- Revenue Management: Support pricing adjustments and occupancy tracking using revenue optimization tools.
- Marketing: Assist with email campaigns, newsletters, and guest loyalty communications.
Administrative & Financial Support
- Financial Admin: Perform basic bookkeeping, organize invoices, and coordinate with the accounting team.
- Claims & Documentation: Assist with gathering evidence and documentation for insurance claims and issue escalation.
Property Launch Logistics (As Needed)
- Setup Coordination: Manage the ordering, delivery, and installation of furnishings for new property launches.
- Listing Management: Assist in creating and optimizing new property listings on various booking platforms.
Qualifications
- Experience in short-term rental or property management (AirBnB or similar)
- Strong written English communication skills
- Highly organized and detail-oriented
- Comfortable coordinating with vendors and cleaning teams
- Experience using online tools, dashboards, and booking platforms
- Experience ordering supplies through online marketplaces
Preferred
- Experience with property management systems (PMS)
- Familiarity with Airbnb or other booking platform messaging
- Experience using pricing or revenue management tools
- Experience monitoring property management devices or alerts
Workload
Estimated weekly workload varies depending on operational needs, with additional hours required occasionally for new property launches.
