Job Overview
Our client, a video production and media agency, is looking for a proactive, detail-oriented Accounts Receivable Coordinator to join the team on a part-time basis. You'll work directly with the company's founder during a focused daily block to stay on top of the financial side of the business — invoices, estimates, payments, and documentation.

Responsibilities
- Prepare, send, and follow up on client invoices and estimates using Quickbooks/FreshBooks/Wave
- Track outstanding payments and send reminders to clients with overdue balances
- Organize and maintain financial records, receipts, and documentation
- Reconcile transactions and ensure books are accurate and up to date
- Draft and send payment requests, vendor payments, and expense reports
- Build and maintain well-organized filing systems for contracts, proposals, receipts, and financial documents
- Create, document, and refine repeatable processes and SOPs for all financial workflows
- Coordinate with accountants or bookkeepers during tax season or audits
- Provide a daily summary of financial tasks completed and items needing attention
- Identify process improvements and leverage AI tools to streamline invoicing, payment workflows, and documentation
- Ensure all deliverables, documents, and records are accurate, complete, and audit-ready
Requirements
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field (required)
- 2+ years of experience in bookkeeping, accounts receivable, or financial administration
- Strong understanding of financial principles, invoicing workflows, and basic accounting practices
- Proficient with FreshBooks, Wave, or similar invoicing/accounting platforms
- Genuinely interested in AI and comfortable using AI-powered tools (e.g., ChatGPT, Claude, automated workflows) to improve efficiency
- Exceptionally organized — you bring structure to chaos and keep systems running smoothly
- Process-minded with a track record of building, documenting, and improving workflows
- Meticulous attention to detail — you catch errors others miss and take pride in accuracy
- Proactive and self-directed — you don't wait to be told what to do
- Strong written communication skills for professional client follow-ups
- Reliable internet connection and a quiet remote work environment
- Experience in video production, media agencies, or creative industries is a strong plus — but a willingness to learn the language and workflow of production is just as valuable
