Intake Coordinator (Mental Health)

Role Overview
We are looking for a reliable and compassionate Patient Intake & Admin Coordinator to be the first point of contact for clients seeking mental health services. This role combines patient interaction, scheduling, and administrative support, ensuring smooth daily operations. You will work closely with therapists and internal staff while managing patient intake, communications, and backend administrative tasks.

Schedule: Monday to Friday 11am to 4pm EST

Key Responsibilities

  • Answer incoming calls, voicemails, and emails, providing professional and compassionate support
  • Manage patient intake by creating new client profiles in the EMR and assigning required documentation (HIPAA forms, agreements, etc.)
  • Schedule appointments by coordinating with therapists’ availability
  • Assign new patients to therapists based on schedules
  • Monitor and respond to inquiries from multiple channels (email, platforms, etc.)
  • Process payments and assist with basic billing tasks; flag issues when needed
  • Review and approve weekly ads
  • Generate payroll reports from the EMR on a bi-weekly basis (Wednesdays)
  • Provide basic technical support to clients (forms, portal access, etc.)
  • Support therapists with inquiries and coordination
  • Assist with onboarding and administrative support for new hires

Requirements

  • Strong communication skills with a patient and empathetic approach
  • Ability to work independently and stay organized in a remote environment
  • Experience with customer service, scheduling, or administrative roles
  • Familiarity with EMR systems (TherapyNotes or similar preferred)
  • Comfortable handling calls, emails, and multiple tasks simultaneously
  • Reliable internet connection and updated computer
  • Basic knowledge of billing processes is a plus
  • Experience in healthcare or mental health is a plus

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
