Client Overview

A mobile and tower crane operating business based in Sydney with a team of 12 full-time staff and up to 10 casual workers per week. The company turns over approximately 7 million AUD annually and operates with a streamlined management structure requiring administrative support for invoicing and compliance processes.

Job Overview

This role will support the business owner by handling invoicing, payroll assistance, and administrative tasks to enable better work-life balance and business scalability. The position requires 20 hours per week with flexible scheduling that can be adjusted around sporadic workflows and key operational days such as Wednesday payroll processing. The ideal candidate will work as a direct extension of the office, learning unique business processes and eventually taking ownership of multiple administrative functions.

Schedule: Mon-Fri Flexible Hours (20 hours per week) 

Client time zone: Australian Eastern Daylight Time (Sydney)

Responsibilities

  • Process invoices using existing rates and pricing structures with paperwork provided by the office.

  • Assist with payroll processing on Wednesdays and ensure timely completion of payment runs.

  • Manage tender paperwork and compliance documentation when new jobs are won. Handle client requests for paperwork and documentation throughout the day as needed.

  • Perform debt collection calls and follow up on outstanding invoices.

  • Support administrative tasks that arise on an ad hoc basis related to crane operations and client management.

Requirements

  • Proven experience in bookkeeping and administrative support with the ability to work independently.

  • Proficiency in Xero accounting software with demonstrated hands-on experience.

  • English as a first language with strong written and verbal communication skills.

  • Ability to work flexible hours across Monday to Friday with availability toward end of day or early morning as needed.

Nice to have:

  • Previous experience working in construction, crane operations, or related industries.

  • Background in corporate office environments with exposure to compliance and tender processes.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
