Administrative Assistant (Construction & Finance Support)

Job Overview

Our client is seeking a detail-oriented and efficient Administrative Assistant to support cross-departmental operations. This role is a blend of traditional administration and specialized construction management support. You will handle reports, reminders, record updates, and vendor-related tasks in a professional manner. The ideal candidate possesses a basic finance background, strong organizational skills, and excellent English communication to act as a reliable bridge between departments.

Schedule

  • Monday - Friday, 8:00 AM - 4:00 PM (no break) OR 8:00 AM - 5:00 PM (1-hour break) Vancouver, BC Time (40 hours per week)

Responsibilities

  • Reporting & Coordination: Prepare and manage cross-departmental reports; send timely reminders and follow-ups to ensure project continuity.
  • Data Integrity: Update and maintain accurate information and records across company databases.
  • Construction Management (Buildertrend): Perform specialized tasks within the Buildertrend platform (training provided), including:
    • Setting up vendor sub-profiles.
    • Collecting and validating subcontractor compliance documentation.
    • Reviewing subcontractor bills for accuracy against project scopes.
  • Vendor Management: Act as a point of contact for vendor-related administrative tasks and documentation.
  • Finance Support: Utilize basic finance knowledge to assist with bill validation and departmental record-keeping.

Requirements

  • Experience: Proven experience in administrative support; a background in construction or property management is a significant plus.
  • Finance Knowledge: Basic finance knowledge or a professional background in a related field.
  • Technical Skills: Proficient with Google Sheets and Outlook. Familiarity with Buildertrend is a plus but not required.
  • Communication: Excellent written and verbal English skills suitable for professional cross-departmental interaction.
  • Attributes: Strong sense of punctuality, efficiency, and the ability to work independently while managing multiple tasks.

Side Note

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
