Job Overview

Our client is a fast-paced plumbing company based in Sydney, Australia, managing a team of 12 plumbers serving both residential and commercial customers. They are seeking a full-time Administrative Assistant to support their high-volume daily operations. The role begins with a focus on report generation, documentation, and email management, with phone-based customer service responsibilities being integrated after the first two weeks. This is an ideal position for a proactive individual who can work independently and maintain high standards of accuracy in a busy trades environment.

Schedule

  • Monday - Friday, 9:00 AM - 5:00 PM AEST, with 1 hour unpaid break (40 hours per week)

Responsibilities

  • Report Generation: Compile information from field plumbers and format it into professional customer reports and PDF documents.
  • Documentation & Correspondence: Prepare official team documentation, including TAFE letters and job-specific correspondence for the 12-person plumbing team.
  • Accounts Receivable: Manage tracking spreadsheets and monitor the accounts email inbox to follow up on outstanding payments and maintain organized financial records.
  • Customer Service (Voice): Answer incoming calls to qualify leads by collecting essential details (name, address, problem description) and providing a professional first point of contact.
  • Scheduling: Coordinate customer needs with plumber availability using the company’s scheduling platform to set appointments.
  • Email Management: Draft and manage email correspondence on behalf of the operations team to ensure timely communication with all stakeholders.

Requirements

  • Experience: 1–2+ years of experience in an administrative assistant or office support role.
  • Technical Skills: Proficiency with Gmail, Microsoft Word, and general document formatting/PDF creation.
  • Communication: Strong written and verbal English skills with a clear, professional phone manner suitable for Australian customers.
  • Autonomy: Ability to work independently once instructions are provided, delivering completed tasks without constant supervision.
  • Adaptability: Comfortable working in a high-pressure environment with shifting daily priorities and multiple concurrent tasks.

Qualifications

  • Previous experience with ServiceM8 or similar job scheduling software is highly regarded.
  • Familiarity with Podium or comparable shared communication/phone systems.
  • Experience working specifically within the trades, plumbing, or home services industries.
  • Proficiency with ChatGPT or AI tools for drafting correspondence and improving workflow efficiency.

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection and are responsible for their own taxes and benefits.
