US Insurance Operations Assistant

Job Overview

Our client is looking for a dedicated Insurance Operations Assistant to serve as the operational backbone of a dynamic, growing insurance brokerage. This role is a unique hybrid of high-touch customer service and technical system administration. You will ensure every client receives exceptional post-sale care while simultaneously configuring the agency's core management systems. Working directly with the founder, you will have the opportunity to shape workflows from the ground up and play a pivotal role in scaling a modern insurance business.

Client Overview

A promising, California-based insurance brokerage focused on high-growth and process efficiency. They leverage a modern tech stack—including HawkSoft and IVANS—to streamline carrier integrations and client management. The agency values self-sufficiency, professional communication, and a proactive approach to process documentation.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM PST, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Post-Sale Success: Follow up with customers after policy issuance to ensure all required signatures, paperwork, and documentation are 100% complete.
  • Quoting & Research: Generate accurate insurance quotes for prospects and existing clients across multiple insurance carriers.
  • AMS Administration: Configure and optimize the HawkSoft Agency Management System workflows to improve team efficiency.
  • Carrier Integration: Manage account setups and automated communications through the IVANS platform.
  • Client Correspondence: Handle professional inquiries via text and email, ensuring timely and helpful responses to policyholders.
  • Process Documentation: Support the agency’s growth phase by creating clear documentation for new systems and administrative workflows.
  • Data Integrity: Maintain meticulous records of all customer interactions and system improvements within the CRM.

Requirements

  • Proven experience working within the US Insurance market.
  • Solid understanding of insurance quoting processes and various carrier portals.
  • Hands-on experience with HawkSoft AMS or EZLynx.
  • Exceptional written communication skills with a focus on professional customer service.
  • Ability to work independently and follow complex procedures with high attention to detail.
  • High level of comfort with technology and system configurations.

Qualifications

  • Familiarity with the IVANS platform or similar carrier integration tools (Highly Regarded).
  • Experience using Agency Revolution or similar insurance-specific CRMs (Preferred).
  • Previous experience in a "founding team" or early-stage agency environment (Preferred).
  • Strong organizational skills and the ability to manage multiple carrier requirements simultaneously.
