We specialize in building custom, professionally designed websites for small businesses and boutique brands that reflect the heart of their brand. In this role, you will be the "stabilizing force" that turns leadership vision into actionable reality. You will go beyond traditional logistics to act as a technology orchestrator, leveraging advanced AI tools and project management platforms to reclaim executive focus time. Whether you are performing email triage to achieve a "zero-email workflow" or correlating technical notes into executive summaries, your work will be foundational to our 98% client retention rate. Responsibilities
- Communications Orchestration: Manage high-volume email correspondence and phone follow-ups, performing inbox triage to ensure urgent matters are flagged while routine inquiries are handled independently.
- Strategic Appointment Setting: Architect the executive’s schedule to include buffers and deep-work blocks, ensuring meetings align with agency priorities and project milestones.
- Note Correlation and Synthesis: Attend strategic and technical meetings to synthesize disparate data points into cohesive executive summaries, action items, and project briefings.
- Digital Brand Stewardship: Manage the agency’s social media presence (Instagram, LinkedIn, Facebook), executing a content calendar that follows the "3E Rule": Educate, Entertain, and Engage.
- Systems Documentation (SOPs): Identify repetitive workflows and document them into clear, visual Standard Operating Procedures to ensure organizational consistency.
- Information Management: Maintain a centralized knowledge base in Dropbox and Google, ensuring all reference materials, contact records, and project updates are organized and accessible.
Requirements
- Proven Executive Support Experience: 2+ years as an EA or Project Coordinator, preferably in a digital agency or tech-focused environment.
- Digital Fluency: Proficiency with productivity tools including Fluent, Dropbox, Google Suite, and AI-powered summary tools (ie. Gemini, ChatGPT, Claude).
- Strategic Communication: Excellent written skills with the ability to reflect an executive’s unique brand voice and tone.
- Discretion and Ethics: A proven track record of handling sensitive business data and confidential communications with absolute integrity.

- Marketing and Design Familiarity: Basic understanding of SEO, AEO, web design workflows, and social media analytics.
- Local Market Awareness: Familiarity with the Texas boutique and small business landscape.
