Executive Assistant

Position Overview

Our client is seeking a reliable and proactive Executive Assistant to support daily operations, customer communication, and administrative tasks. This role plays a key part in ensuring smooth booking experiences for customers while assisting the business owner with various operational needs.

The ideal candidate is highly organized, customer-focused, and comfortable handling inbound calls, reservations, and CRM management, particularly using Go HighLevel. This individual should be adaptable and able to manage a mix of structured and ad hoc tasks.


Key Responsibilities

Customer Support & Communication

  • Answer inbound calls and respond to customer inquiries in a professional and friendly manner
  • Provide accurate information about kayak tours, schedules, and availability
  • Assist customers with bookings, changes, and general questions
  • Ensure a positive customer experience at all touchpoints

Reservations Management

  • Manage and process tour reservations and bookings
  • Update availability and schedules in the system
  • Coordinate with internal teams to ensure bookings are fulfilled smoothly
  • Handle rescheduling, cancellations, and booking adjustments

CRM Management (Go HighLevel)

  • Maintain and update customer data in Go HighLevel CRM
  • Track leads, inquiries, and customer interactions
  • Ensure data accuracy and proper documentation of communications

Administrative & Executive Support

  • Assist the client with day-to-day administrative tasks
  • Handle ad hoc or “random tasks” as assigned by the client
  • Support operational workflows and help improve efficiency where possible


Required Qualifications

  • Proven experience as an Executive Assistant, Virtual Assistant, or Customer Support Representative
  • Experience using Go HighLevel CRM (or similar CRM platforms)
  • Strong communication skills (verbal and written English)
  • Experience handling inbound calls and customer inquiries
  • Excellent organizational and multitasking abilities
  • High attention to detail and accuracy
  • Ability to work independently in a remote environment
