Job Description
You’ll be the vital first point of contact for patients seeking nutrition and wellness services, ensuring every call is answered with professionalism and care. This role puts you at the center of a growing healthcare practice where your attention to detail and warm communication style directly impacts patient satisfaction and clinic growth. You’ll work with cutting-edge EMR systems while building relationships with both patients and referring physicians in a supportive, health-focused environment.
Schedule: 20h per week - Monday through Friday 10am to 2pm EST

Responsibilities
- Answer all incoming patient calls during business hours to eliminate missed appointment opportunities
- Schedule new patient appointments and enter complete patient information into EMR system
- Make outbound calls to physician referrals to coordinate patient scheduling and follow-up care
- Handle patient inquiries about services, insurance coverage, and clinic procedures with expertise
- Manage daily administrative functions including patient record filing and data organization
- Coordinate physician outreach by sending thank you notes and intervention summaries to referring doctors
- Perform insurance verification and basic coverage confirmation for incoming patients
- Support light social media content management and practice marketing initiatives
- Assist with basic bookkeeping tasks and administrative reconciliation as needed
- Maintain HIPAA compliance while managing sensitive patient information and communications
Requirements
- Previous experience as front desk receptionist or virtual assistant in US healthcare or clinical settings
- Familiarity with Electronic Medical Record (EMR) systems and healthcare scheduling workflows
- Professional, polite, and respectful communication style essential for patient interactions
- Understanding of medical terminology and healthcare industry standards
- Bonus if you have experience with insurance verification and healthcare billing processes
- It helps if you have basic social media management or light bookkeeping experience
- Strong organizational skills and meticulous attention to detail for patient data management
