Our client is looking for a proactive Landscaping Operations Assistant to be the backbone of a dynamic, rapidly growing property services franchise. This isn’t just an administrative role—you will work directly with the business owner to implement game-changing systems, streamline operations, and help scale an enterprise that values efficiency and excellence. You will have the unique opportunity to learn cutting-edge business systematization methodologies (Systemology) while managing the day-to-day operations that keep this "one-stop-shop" running smoothly.

Client Overview

Based in Melbourne, our client is a growing landscaping and home services franchise that goes beyond traditional lawn care. They offer comprehensive property maintenance solutions, coordinating everything from garden care and gutter cleaning to solar panel services and handyman work. The business is currently scaling rapidly and implementing advanced systematization to build an entity that can eventually operate independently of the owner.

Schedule

  • Monday - Friday, Flexible during client business hours [AEST/Melbourne] (40 hours per week)

Responsibilities

  • Systems & Documentation: Document business processes and create Standard Operating Procedures (SOPs) as part of Systemology implementation.
  • Operations Management: Manage and organize email communications using AI-powered tools and create efficient filing systems.
  • Financial Support: Prepare and process invoices and write quotes for diverse services (landscaping, gutter cleaning, solar, etc.).
  • Technical Transition: Support the transition from TraderFi to the Fergus CRM platform, learning and implementing new workflows.
  • Coordination: Manage scheduling systems to optimize service delivery and coordinate with subcontractors (handymen, electricians, plumbers, and arborists).
  • Strategic Growth: Participate in business systematization training alongside the owner to support the "one-stop-shop" service model.
  • General Admin: Handle daily administrative tasks to ensure seamless business operations.

Requirements

  • Administrative Excellence: Strong organizational skills with high attention to detail.
  • CRM Proficiency: Experience with CRM systems and a strong willingness to master the Fergus CRM platform.
  • Communication: Excellent written and verbal English communication skills.
  • Initiative: Ability to work independently and take the lead on systems implementation.
  • Industry Context (Bonus): Experience in service-based businesses or the trades industry is a plus.
  • Tech Savvy: Proficiency with email management and basic invoicing systems.
  • Growth Mindset: A genuine interest in learning business systematization and scaling methodologies.

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
