Overview
This is a full-time Executive Assistant role providing high-level support to executives in a fast-paced professional environment. The position requires managing communications, coordinating projects, and supporting operations, with a strong emphasis on CRM management, licensing processes, agent relations, and professional presentation design using Canva and PowerPoint. The ideal candidate will be proactive, highly organized, visually detail-oriented, and able to work independently while handling sensitive information with discretion.
Schedule
- Monday – Thursday: 11:00 AM – 8:00 PM EST (including 1-hour unpaid break)
- Friday & Saturday: 11:00 AM – 3:00 PM EST
- Client Timezone: Eastern Time Zone (Florida)
- Total: 40 hours per week
Responsibilities
- Manage and prioritize executive communications by providing concise summaries and structured recommendations (Issue → Options → Recommendation) to facilitate rapid decision-making.
- Design high-quality presentations and visual materials using Canva and PowerPoint, transforming complex data into clear, brand-consistent layouts for leadership and training.
- Maintain CRM data integrity and oversee the agent licensing pipeline, conducting proactive follow-ups with brokers to ensure accuracy and prevent delays.
- Serve as the primary liaison for agent relations, coordinating with internal teams on onboarding and operational initiatives.
- Organize executive tasks, priorities, and meeting notes, tracking all action items and commitments to ensure timely completion.
- Anticipate executive needs and identify potential operational gaps or project risks before they arise, offering practical solutions and independent prioritization.
- Handle sensitive company information, finances, and communications with the highest level of discretion and confidentiality.
- Execute diverse ad-hoc projects and operational tasks to support business growth and team collaboration.
Requirements
- 3–5+ years as an Executive Assistant, Administrative Assistant, or Personal Assistant
- Direct experience in the insurance industry with licensing and compliance processes
- Advanced proficiency in Canva and PowerPoint, with a strong portfolio of professional presentations or visual materials (APPLICATIONS WITH PORTFOLIOS WILL BE PRIORITIZED)
- Strong proficiency in Microsoft Office Suite and Google Workspace
- Experience using CRM systems and maintaining database accuracy
- Excellent organizational skills and meeting note documentation
- Strong written and verbal communication skills
- Ability to prioritize tasks and manage multiple responsibilities independently
- Demonstrated proactive thinking and problem-solving
- High level of professionalism, discretion, and confidentiality
- Experience conducting phone-based follow-ups with agents or clients preferred
- Strong eye for design, layout, and visual storytelling
- Ability to translate complex information into clear, visually engaging presentations
