Overview
Join our team as a remote Payroll and HR Administrator, where you will take full ownership of our payroll lifecycle and HR data integrity. Schedule:
- Monday to Friday, 8:30 am to 5:30 pm PST. With a 1-hour unpaid break.
Responsibilities
Payroll Administration
- Process and audit California-based payroll using Paylocity, ensuring compliance with state wage and hour laws
- Manage payroll changes including new hires, terminations, compensation updates, and garnishments
- Reconcile payroll records and resolve discrepancies promptly
- Stay current on California-specific regulations including overtime rules, final pay requirements, and CFRA
HRIS & Data Management
- Serve as a Paylocity resource, managing system configurations, running reports, and supporting updates
- Maintain accurate and up-to-date employee records, ensuring data integrity across all HR systems
- Generate standard and ad hoc HR reports to support leadership decision-making
HR Operations & Compliance
- Support day-to-day HR administrative functions including onboarding, offboarding, and documentation
- Maintain employee files, policy acknowledgments, and compliance records in accordance with CA and federal requirements
- Assist with benefits administration, open enrollment coordination, and vendor communication
- Handle all employee information with strict confidentiality and in full compliance with HIPAA requirements
Coordination & Communication
- Manage timelines, reminders, and follow-ups to ensure deadlines are consistently met
- Communicate process updates, deadlines, and policy changes to team members clearly and professionally
- Anticipate the needs of HR leadership and stay ahead of requests before they become urgent
- Provide occasional support for internal meetings, trainings, or company events as needed
Requirements:
- 2+ years of HR administration experience, including hands-on payroll processing
- Direct experience with California payroll law (overtime, meal/rest breaks, final pay, sick leave, etc.) is highly preferred
- Working knowledge of HIPAA regulations and experience handling protected health information (PHI) in an HR or benefits context
- Proficiency in Paylocity or a comparable HRIS platform
- High attention to detail with a strong commitment to data accuracy and confidentiality
- Ability to work independently and manage multiple priorities in a remote setting
- Excellent written and verbal communication skills
Preferred:
- Paylocity superuser or system administrator experience
- Experience supporting benefits administration or open enrollment
- Familiarity with Google Workspace and/or Microsoft Office Suite
