AU Bookkeeper (Xero)

Job Overview

Our client is looking for a highly organized, tech-savvy Bookkeeper and Admin Assistant to support the owner of Hola Mexico Restaurant. This is a hybrid role that sits at the intersection of financial administration and executive support. You will be the "right hand" to the owner, taking over essential bookkeeping duties currently managed internally and providing high-level administrative assistance to ensure smooth daily operations.

The ideal candidate has a strong grasp of Australian bookkeeping standards, is proficient with Xero and Toast POS, and is comfortable using AI (ChatGPT) to streamline communication and reporting.

Schedule

  • Monday: 4 Hours (Focus on Payroll, Invoices, and Weekly Reporting)
  • Tuesday: 4 Hours (General Admin, Reconciliation, and PA tasks)
  • Wednesday: 2 Hours (Follow-ups and miscellaneous support)

Responsibilities 1. Bookkeeping & Financial Reporting

  • Accounts Payable: Manage and pay local supplier invoices weekly.
  • Payroll: Process weekly wages for 5–10 employees and enter data accurately into Xero.
  • Bank Reconciliation: Perform regular reconciliations to ensure financial accuracy.
  • Reporting: Generate and analyze weekly reports, including Cost of Goods (COGS) vs. Sales, Labor cost analysis, and Bottom-line profitability summaries.

2. Executive PA & Administrative Support

  • Scheduling: Manage the owner’s calendar, schedule meetings, and handle travel arrangements (flights, etc.).
  • Communication: Draft and send professional emails and requests on behalf of the owner.
  • System Support: Act as the primary point of contact for the Toast POS system, troubleshooting issues or contacting support during service disruptions.

3. AI & Technical Optimization

  • AI Integration: Utilize ChatGPT for drafting communications and conducting deep-dive analysis on weekly business reports.
  • Process Improvement: Help peel back the "layers" of the business by identifying ways to automate or simplify administrative tasks.

Requirements

  • Experience: 2–3 years of experience in bookkeeping, specifically following Australian standards.
  • Software Proficiency: Expert-level knowledge of Xero for payroll and accounts payable; experience or high aptitude for Toast POS.
  • AI Tools: Proficiency in using ChatGPT for business writing and data analysis.
  • Communication: Exceptional written and verbal English skills.
  • Availability: Must be available to work Australian afternoon hours, specifically prioritizing Mondays and Tuesdays for payroll and invoice cycles.
  • Analytical: Ability to understand what financial numbers mean for the restaurant's health.
