Job Overview
Our client is looking for a detail-oriented and professional Administrative and Operations Assistant to support their growing HVAC and electrical operations. This role is central to ensuring service coordination flows smoothly across both residential and commercial lines. The successful candidate will be responsible for scaling operational efficiency through precise scheduling, data accuracy, and professional communication with customers and internal team members.
Schedule

Monday - Friday, 8:00 AM - 5:00 PM EST, with 1 hour unpaid break (40 hours per week)
Responsibilities
- Communication Management: Handle inbound and outbound phone calls effectively while managing email inquiries.
- Data Integrity: Manage data entry tasks and perform systematic system data cleanup to ensure accuracy.
- Service Coordination: Coordinate and book service jobs for the team to ensure efficient field operations.
- Calendar Management: Maintain and update business calendars to prevent scheduling conflicts.
- Operational Support: Provide general operations and administrative support to the leadership team.
- Workflow Oversight: Ensure service coordination flows smoothly between the office and field technicians.
Requirements
- Proven experience in administrative or operations roles.
- Excellent verbal and written English skills.
- Professional phone manner for high-quality customer interaction.
- Proficiency in data entry and various scheduling tools.
- Strong organizational and multitasking abilities.
- Ability to work full-time during the 8:00 AM - 5:00 PM EST shift.
- Reliable internet connection for a permanent remote work environment.
