Job Overview

Our client is looking for an Administrative & Customer Support Assistant to manage customer accounts, respond to inquiries, track leads, and coordinate class bookings. This role requires strong communication skills, attention to detail, and the ability to multitask effectively. You will serve as a key point of contact for parents and students while supporting the studio's overall operations.

Client Overview:

Support a dynamic studio-based business by managing customer relationships, coordinating schedules, and assisting with day-to-day operations. This role is essential in ensuring smooth communication with clients and maintaining organized systems across bookings, accounts, and inquiries.

Schedule

  • Monday - Friday, Flexible during client business hours, AEST (20 work hours per week)

Responsibilities

Customer Accounts & Payments

  • Manage customer accounts and maintain accurate records
  • Track payments and follow up on overdue fees
  • Ensure all account information is organized and up to date

Inbox & Parent Communication

  • Respond to enquiries in a timely and professional manner
  • Maintain organized inbox management
  • Ensure clear, consistent, and friendly communication with parents and clients

Lead Tracking & Conversion

  • Track new enquiries and incoming leads
  • Follow up on trial bookings and convert leads into enrolled students
  • Maintain accurate records of all interactions and lead status

Scheduling & Bookings

  • Manage class schedules, studio hire bookings, and calendar coordination
  • Handle booking changes, reschedules, and availability updates
  • Ensure schedules are accurate and well-organized

General Administrative Support

  • Assist with day-to-day studio administrative tasks
  • Maintain organized systems and documentation
  • Support smooth operations through proactive coordination

Requirements

  • Professional written and verbal English communication skills
  • Experience in administrative support or customer service
  • Excellent organizational and time management skills
  • Close attention to detail and accuracy
  • Ability to manage multiple tasks and priorities
  • Comfortable using email, scheduling tools, and CRM systems
  • Ability to work independently in a remote environment

Qualifications

  • Experience supporting a dance studio, fitness studio, or education-based business
  • Experience handling payments or basic financial tracking
  • Experience with lead management and client conversion
