Senior Accountant | Inventory Management | Xero Expert

Job Overview

Our client is looking for an experienced Senior Accountant / Bookkeeper / Business Admin to take full ownership of financial operations. You will work closely with the business owner, managing finances for a complex operation with over 25,000 products and 24 suppliers. This role is ideal for someone highly organized, detail-oriented, and experienced in Xero, Australian payroll, and inventory systems (including Lightspeed), with the ability to support a growing and evolving business.

Client Overview

Join a growing pool services franchise that’s part of a well-known Australian network. The business serves both residential and commercial clients across Victoria—including gyms, aged care centers, and hospitals—and is currently expanding while undergoing a digital transformation.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM AEST, with 1 hour unpaid break (40 work hours per week)

Responsibilities Finance & Accounting

  • Manage end-to-end bookkeeping and payroll in Xero
  • Conduct daily bank reconciliations and maintain financial accuracy
  • Prepare BAS (Business Activity Statements) and ensure compliance
  • Collaborate with external accountants for reporting and compliance
  • Maintain and optimize the chart of accounts

Inventory & Supplier Management

  • Process and track orders across 24 supplier portals
  • Perform goods receipting and maintain accurate inventory records
  • Work with systems such as Lightspeed and other inventory platforms
  • Ensure alignment across ordering, receiving, and payment systems

Financial Ownership & Visibility

  • Take full ownership of financial health and reporting
  • Provide forward-looking insights (e.g., rolling 90-day cash flow forecast)
  • Monitor debtors, creditors, and overall cash flow
  • Identify financial risks early and communicate proactively

Communication & Operations

  • Proactively engage with the business owner (not waiting for instructions)
  • Initiate regular updates, reporting, and meetings
  • Follow up on urgent matters through multiple communication channels
  • Support general business operations and administrative coordination

Requirements

  • Proven expertise in Xero and Australian bookkeeping standards
  • Strong knowledge of Australian payroll and BAS compliance
  • Experience with inventory systems (e.g., Lightspeed) and supplier platforms
  • Excellent attention to detail and data accuracy
  • Strong organizational and multitasking skills
  • Proficiency in Google Workspace and browser-based systems
  • Experience working with external accounting firms
  • Ability to work independently and manage time effectively
  • Willingness to grow with the business and take on increased responsibilities
